1. Who we are

Energy Partners is a trading name of PFW Holdings Ltd, a company registered in England and Wales (company number 12267104), whose registered office is at Willoughby House (Office 7), 2 Broad Street, Stamford, PE9 1PG (VAT number 359 7319 55). PFW Holdings Ltd is the data controller of your personal data under the UK GDPR. Your enquiry may be handled by one or more of our collaboration partners on our behalf.

2. What we collect

When you book a visit or otherwise contact us, we collect:

  • Your name
  • Your venue or business name
  • Your phone number
  • Your email address
  • Your site postcode
  • Your preferred call-back time (optional)
  • Technical data automatically captured by the website: hashed IP address, browser user agent, page visited, referrer URL, UTM parameters where present
  • Your interactions with the website (form starts, CTA clicks, calculator inputs) — only if you consent to analytics cookies (see Section 8).

3. Why we collect it, and on what lawful basis

We process your personal data on the lawful basis of legitimate interest — specifically, responding to your enquiry, progressing a potential commercial relationship, and managing our pipeline. For optional analytics cookies we rely on your consent, given via our cookie banner.

We use your data to:

  • Contact you within one working hour to confirm your free site visit
  • Conduct the visit and produce a revenue model for your venue
  • Communicate about the Venue Revenue Programme and answer your questions
  • Detect spam, fraud and abuse
  • Comply with our legal obligations

4. Where it's stored

Your data is stored in exactly two places:

  • The Energy-Partners website (energy-partners.co.uk) — briefly, while a form is in flight
  • Our internal CRM, which the collaboration operates and hosts itself

That is the entire stack. We do not pass your data to third-party marketing platforms, advertising networks, email-automation tools, list-rental services, profile-enrichment services, or analytics-for-profit operators.

5. Who sees it

Inside the collaboration, your enquiry is accessible to:

  • The collaboration partner(s) best placed to respond, based on your venue location and sector
  • The team member who calls you within one working hour
  • Senior managers across the partnership, on a need-to-know basis

Your data is not sold, rented or shared with any party outside the collaboration.

6. How long we keep it

  • If you become a customer: for the duration of our relationship plus six years (standard UK contract-retention norm)
  • If you do not become a customer: 24 months from your last interaction, after which we anonymise or delete
  • Spam or abusive submissions: deleted within 30 days

7. Your rights

Under the UK GDPR you have the right to:

  • Access the personal data we hold on you
  • Have inaccurate data corrected
  • Ask us to erase your data (subject to overriding legal obligations)
  • Restrict or object to our processing
  • Receive your data in a portable format

To exercise any of these rights, email info@energy-partners.co.uk. We will respond within one calendar month.

You also have the right to lodge a complaint with the UK Information Commissioner's Office (ico.org.uk) if you believe we have mishandled your data.

8. Cookies

We use:

  • Strictly necessary cookies — required to make the site work (session, security, form state). These cannot be disabled.
  • Analytics cookies — only set if you accept analytics in our cookie banner. When accepted, we use Google Analytics 4 via Google Tag Manager, configured in Google Consent Mode v2 with default-denied storage.

We do not set advertising, marketing or profile-tracking cookies.

You can change your cookie choices at any time via the "Cookie settings" link in the website footer.

9. Changes to this policy

We will update this notice when our processing materially changes. Material changes will be flagged on the homepage for at least 14 days before they take effect.

10. Water Rebate Recovery service

The water rebate recovery service is operated by PFW Holdings Ltd (company number 12267104, registered office Willoughby House (Office 7), 2 Broad Street, Stamford, PE9 1PG), registered with the Information Commissioner’s Office under reference ZA885545.

What we collect. When you use the water rebate eligibility checker we collect your name, role, email, phone, organisation name and type, site address and postcode, details about your site and drainage, and — if you choose to upload it — a copy of your water bill (PDF or photo).

Why. To assess whether a surface water drainage rebate may apply, to analyse your bill, to contact you about your case, and — if you choose to proceed — to make a claim with your water retailer on your behalf. The lawful basis is legitimate interest, with consent relied upon for uploading your bill and accepting the privacy notice.

Sharing. Your details and bill are shared with your water retailer or wholesaler only with your signed written authority, and only for the purpose of making your claim. We do not sell or rent your data.

Retention. If a claim is made, we keep your case file (including your uploaded bill) for the duration of the claim plus six years. If you do not proceed, we keep it for 24 months from your last interaction, after which it is deleted or anonymised.

Your rights. You can withdraw your consent at any time before we submit your claim, access the data we hold, object to processing, and ask us to erase your data (subject to overriding legal obligations). To exercise any right, email info@energy-partners.co.uk. You can also complain to the ICO (ico.org.uk).

Energy grant research (optional). If you tick the box in the checker, we will also use your details to research what energy grants and funding options your site may be eligible for in your area, and to contact you about what we find. This is entirely optional and separate from your water rebate enquiry — you can use the water rebate service without it. You can opt out at any time by emailing info@energy-partners.co.uk.
